SoundBite AI is built on a foundation of strict privacy boundaries, local cache resilience, and explicit cloud encryption.
This policy outlines how your data is treated. In short: we do not sell your data, run third-party advertising trackers, or use your voice recordings to train public foundation models.
Local-First Caching
Raw voice drafts and memo caches live in local high-speed device memory before syncing.

User-isolated cryptographic access control ensures that only your authenticated profile can query your briefs.

We do not monitor your keystrokes, track device fingerprints, or sell user records to ad networks.
Direct SoundBite AI Inference
Audio is passed securely to SoundBite AI processing without secondary third-party data aggregators.
1. Microphone Access & Audio Recording
SoundBite AI requests microphone permission on iOS and Android solely to record your intentional voice notes when you tap the record button. The microphone is never activated in the background or when the app is inactive. You may revoke microphone permission at any time through your operating system settings.
2. SoundBite AI Audio Processing
When you complete an audio capture, the raw audio file is securely transmitted to SoundBite AI to generate verbatim transcripts, structured executive summaries, and action item lists.
- Audio streams are processed transiently to fulfill the transcription and summarization request.
- Voice data submitted through the processing pipeline is protected under strict privacy commitments and is not used to train global generative AI foundation models.
3. Cloud Storage & Security
SoundBite AI utilizes enterprise-grade encrypted cloud infrastructure for seamless multi-device sync, user authentication, and persistent memo backups.
- User-Isolated Security: Every memo and action item record is strictly bounded to your authenticated user identity. Other users cannot query or inspect your records.
- Encrypted Media Vault: If enabled in settings, audio files are preserved in an encrypted private cloud vault accessible only via secure, time-limited signed access tokens.
4. Third-Party Sharing & System Sheets
SoundBite AI includes tools to export your formatted briefs to external applications such as WhatsApp, Slack, Apple Notes, or Obsidian. These export actions are strictly user-initiated. SoundBite AI never broadcasts your data automatically without explicit user confirmation.
5. Subscriptions & Payments
SoundBite AI offers optional auto-renewable subscriptions and premium digital features. All financial processing, cardholder data management, and transactions are handled securely through standard mobile app stores:
- Zero Financial Credential Storage: All subscription payments are processed directly by Apple via the App Store In-App Purchase system (on iOS) or Google via Google Play Billing (on Android). SoundBite AI does not collect, receive, store, or have access to your credit card numbers, debit card details, bank information, or billing address.
- Subscription Tokens & Entitlements: We receive only non-financial transaction receipt identifiers and subscription status tokens (such as active state, expiration date, and product ID) necessary to activate your Pro entitlements, restore purchases across reinstalls, and sync your status across your devices.
- Third-Party Billing Infrastructure: We utilize secure, industry-standard in-app subscription verification services (RevenueCat) to validate digital purchase receipts with Apple and Google without exposing or collecting any personal financial information.
6. User Rights & Data Deletion
You retain absolute ownership over your intellectual property and data. At any time, you may exercise full control over your stored records:
- Delete Individual Records: Delete individual voice memos, summaries, or extracted task items at any time directly inside the app.
- Clear Local Device Caches: Clear temporary audio files and local device caches directly in app settings.
- Permanent Hard Delete: Irreversibly delete your account and all associated cloud data by tapping Settings → Delete Account inside the app, or through our web deletion portal at soundbite.techwinlabs.com/delete-account.html. This completely and permanently wipes all your transcripts, voice notes, action items, gamification streaks, and authentication credentials from our database with zero traces remaining.
- Subscription Cancellation Reminder: Deleting your SoundBite AI account or uninstalling the app does not automatically cancel an active auto-renewable subscription billed through Apple or Google. To prevent unwanted renewals, you must cancel your subscription directly in your Apple ID Account Settings prior to deleting your account.
